SALES & VENUE MANAGER

POSITION OVERVIEW

The Sales & Venue Manager is responsible for the overall success of the venue, from the first client inquiry through the completion of the event and post-event experience.

This dual-role position combines sales, business development, client experience, venue operations, team leadership, vendor relations, marketing, and property management. The Sales & Venue Manager takes full ownership of the venue and is responsible for both generating business and ensuring every booked event is executed to the highest standard.

The Sales & Venue Manager serves as the primary point of contact for prospective and booked clients, the direct manager of the venue team, and a key liaison between the venue, property owners, vendors, clients, and company leadership.

Knowing the ins and outs of every aspect of the property is essential to success in this position. This person should be highly engaged, organized, hands-on, solutions-oriented, and passionate about creating exceptional experiences while driving the venue's financial and operational success.

1. SALES & BUSINESS DEVELOPMENT

The Sales & Venue Manager takes full ownership of the venue's sales process and revenue generation from initial inquiry through signed contract and deposit collection.

  • Serve as the first point of contact for prospective clients and create an exceptional first impression, both virtually and in person.

  • Own the entire inquiry and lead management process.

  • Maintain consistent, timely, and persistent follow-up with prospective clients.

  • Conduct client and couple tours approximately three days per week, as needed.

  • Conduct sales calls, consultations, and follow-up meetings.

  • Create customized proposals and pricing.

  • Negotiate and close contracts.

  • Collect deposits and ensure contracts are fully executed.

  • Maintain accurate lead pipelines, booking calendars, and sales records.

  • Meet or exceed established sales and booking goals.

  • Identify opportunities to increase bookings, revenue, and property utilization.

  • Continuously improve sales processes, procedures, and systems.

  • Provide regular sales updates and monthly reports to management.

  • Maintain accurate booked-event spreadsheets and sales reporting.

2. CLIENT EXPERIENCE & EVENT MANAGEMENT

Once a contract is signed and the deposit is collected, the Sales & Venue Manager assumes full ownership of the client experience through the event and post-event follow-up.

  • Conduct a thorough handoff from sales into the planning and event management process.

  • Serve as the primary point of contact for booked clients.

  • Build strong rapport with couples and provide ongoing guidance, coaching, and support.

  • Conduct final client and vendor walkthroughs.

  • Maintain consistent communication with clients throughout the planning process.

  • Ensure all required planning documents, timelines, and information are maintained and up to date.

  • Maintain RoS, Google Drive, and other venue planning systems.

  • Ensure clients understand venue policies, procedures, timelines, and expectations.

  • Oversee all events on the property.

  • Provide a minimum of eight hours of onsite management on assigned event days.

  • Troubleshoot client, vendor, staffing, and operational issues during events.

  • Ensure events are executed according to venue standards and contractual requirements.

  • Conduct post-event follow-up and thank clients for choosing the venue.

  • Encourage and facilitate post-event reviews and referrals.

  • Maintain a high-touch, hospitality-focused client experience from booking through completion.

3. VENUE OPERATIONS & PROPERTY MANAGEMENT

The Sales & Venue Manager maintains full ownership of the venue's day-to-day operations and overall presentation.

  • Maintain a constant standard of excellence throughout the property.

  • Know the ins and outs of every aspect of the venue, including facilities, equipment, layouts, policies, procedures, and event logistics.

  • Supervise venue upkeep, repairs, maintenance, grounds, equipment, and facilities.

  • Identify property issues and coordinate timely solutions.

  • Communicate maintenance and repair needs to appropriate parties.

  • Ensure the venue is clean, organized, functional, safe, and event-ready.

  • Maintain the integrity, appearance, and presentation of the property.

  • Continuously improve venue processes, procedures, checklists, and systems.

  • Anticipate event logistics and operational needs before they become problems.

  • Ensure venue policies and standards are consistently enforced.

  • Be willing to step in and assist with hands-on venue needs when necessary.

4. TEAM LEADERSHIP & STAFFING

The Sales & Venue Manager is the direct manager of the venue team and is responsible for creating a safe, accountable, and enjoyable working environment.

  • Directly supervise all venue staff, including Assistant Venue Managers, Facilities Team members, and day-of event staff.

  • Hire, train, onboard, and retain venue employees.

  • Build and maintain a strong venue team.

  • Staff all day-of event needs.

  • Coordinate staffing assignments and ensure appropriate coverage for every event.

  • Provide clear expectations, direction, and feedback to team members.

  • Maintain accountability for staff performance.

  • Ensure staff follow venue policies, procedures, and company standards.

  • Create and maintain a safe, respectful, and enjoyable work environment.

  • Recognize and address performance issues promptly.

  • Lead by example and model the company's values.

  • Maintain open communication with the full venue team.

5. VENDOR RELATIONS & PROPERTY ACCESS

The Sales & Venue Manager owns vendor relationships and vendor access to the property.

  • Build and maintain strong relationships with event professionals and vendors.

  • Manage vendor communication and property access.

  • Ensure vendors understand and follow venue policies and procedures.

  • Collect and maintain all required vendor insurance, waivers, and documentation.

  • Coordinate vendor walkthroughs and site visits.

  • Maintain relationships with planners, caterers, rental companies, photographers, florists, entertainment companies, and other event professionals.

  • Address vendor concerns and operational issues professionally.

  • Develop strategic vendor relationships that support the venue and client experience.

6. MARKETING, SALES OUTREACH & COMMUNITY RELATIONS

The Sales & Venue Manager serves as an active representative of the venue within the wedding, event, and local community.

  • Build relationships with community groups, businesses, hotels, other venues, and event professionals.

  • Participate in networking and industry events.

  • Conduct sales and community outreach to generate new business.

  • Assist the Social Media Manager with venue social media, online community management, and blogs.

  • Promote the venue and its events through appropriate marketing channels.

  • Plan and execute styled shoots and other marketing events.

  • Plan and execute monthly open houses.

  • Plan and coordinate quarterly vendor showcase events.

  • Attend and actively participate in open houses.

  • Identify new marketing and partnership opportunities.

  • Represent the venue's brand, values, and standards in all industry and community interactions.

7. VENUE OWNER & MANAGEMENT RELATIONS

The Sales & Venue Manager serves as a key liaison between the venue, property owners, and company management.

  • Build and maintain a strong working relationship with venue owners.

  • Provide regular updates regarding property operations, events, maintenance, staffing, and client concerns.

  • Respond to management and team requests in a timely manner.

  • Address owner concerns promptly and professionally.

  • Communicate operational issues before they become larger problems.

  • Ensure the venue's needs and priorities are clearly communicated.

  • Maintain alignment between the venue owners, company leadership, and venue team.

8. FINANCIAL & ADMINISTRATIVE RESPONSIBILITIES

  • Track sales performance and booking goals.

  • Maintain accurate sales and event records.

  • Provide monthly reporting to management.

  • Monitor booked events, upcoming events, and venue utilization.

  • Assist with tracking venue-related expenses and operational needs.

  • Ensure deposits, contracts, and required documentation are properly maintained.

  • Identify opportunities to improve venue profitability and efficiency.

  • Support management with financial and operational reporting as requested.

9. TEAM COMMUNICATION & COLLABORATION

  • Maintain open and consistent communication with the entire venue team.

  • Work closely with the sales and marketing teams.

  • Support company-wide initiatives and projects.

  • Communicate important client, vendor, staffing, and property information to the appropriate team members.

  • Participate in team meetings and training.

  • Support other CSE venues and team members when needed.

  • Be willing to jump in wherever needed to ensure the success of the venue and its events.
